Common questions

What counts as a billable user?

Every user account on your workspace — staff, approvers, admins, and analysts alike — is one seat at the published per-user rate, billed monthly through Stripe. Someone who holds more than one role still counts as a single account. Your current account count shows on the in-app Billing screen, and your subscription is reconciled to it right before each invoice — so people you add or remove are reflected on your next bill.

What happens when the 30-day trial ends?

Your data stays. You are prompted to add a payment method through Stripe Checkout. If you skip the prompt, the app moves to read-only — signed PDFs remain downloadable and full exports stay available.

Do you discount for nonprofits or public sector agencies?

Quite possibly. Tell us about your agency and we will talk through options — email support@hoursatwork.com.

Who owns the data, and how do I get it out?

You do. Timesheets, approvals, and the audit ledger export as CSV from the in-app reports. Signed PDFs export with their hash manifest, so a third party can verify nothing was altered after export.

How are signed PDFs proven immutable?

Each approval is HMAC-signed and links to the prior approval through a chained hash — changing one breaks the chain. A nightly chain-verifier runs across every approved week and flags any mismatch.
